When Municipal Searches Stall: The Real Impact on Real Estate Closings
I want to share one of those situations that every title agent has experienced at some point, and one that still sticks with me.
We had a stretch of time with one particular municipality where getting permits and code information felt nearly impossible.
When a File Stops Moving
Requests would go unanswered.
There were no turnaround times.
Checks would be received… and then just sit there, unprocessed, for weeks.
In a few cases, they were even lost entirely.
We followed up constantly — sometimes hourly — trying to get any kind of update we could pass along. And when we did get answers, they were often inconsistent or just plain inaccurate.
At one point, we realized something:
We couldn’t even give our clients an estimate anymore.
Files just sat there.
Stuck.
Completely out of our control.
And if you’ve ever watched a file sit in red status with no movement, you know exactly how frustrating that feels.
We were doing everything we could… but ultimately, we were at the mercy of a system that wasn’t functioning.
And that’s when something became really clear to us.
Why Communication Matters More Than Speed
When you can’t control the situation, you double down on communication.
During that time, we made it a point to keep our clients informed at every step. Even when the update wasn’t ideal, we shared what we knew, what we were doing, and what to realistically expect.
And because of that, our clients didn’t feel left in the dark.
They knew we were on it.
The good news? Things have improved since then. Processes are smoother, timelines are more predictable, and those files don’t sit the way they used to.
But that experience reinforced how we operate today.
In this industry, things will go wrong sometimes.
Municipalities will be slow.
Processes will break.
Files will hit unexpected walls.
But your vendor should never be the one adding to the stress.
Our job is to absorb it, navigate it, and keep you informed so you can keep moving forward.
This is the kind of chaos we handle, so you don’t have to.
We can’t always control what happens on the municipal side, but we can control how we communicate, how we respond, and how we support our clients through it.
